Hotel Operator Quickstart
Start using Hostrail's hotel-portal as a hotel operator, company team, or chain operator without developer setup.
Who this guide is for
Use this guide if you are:
- setting up your first hotel in Hostrail
- managing multiple properties for a company or chain
- helping an operations team get property supply ready for live bookings
This guide is not for API developers or AI agents. If you need the integration or API lane, use the Developer Quickstart instead.
What hotel-portal is
hotel-portal is the operator workspace for hotel teams.
It is where you:
- sign in as an operator
- choose the organization you want to work in
- complete workspace and property onboarding
- configure rooms, rates, and inventory
- connect PMS or run imports
- review readiness before a property goes live
Step 1: Register or sign in
Start from:
Registration is intentionally light. You should only need the basics to create your operator identity. Company and property details belong in onboarding after you enter the workspace.
Step 2: Choose your organization
After sign-in:
- if you belong to one organization, Hostrail should take you straight into it
- if you belong to multiple organizations, choose the one you want to manage now
- if you do not have an organization yet, continue into the create/onboarding path
You should not need to know a tenant ID just to sign in.
Step 3: Complete the onboarding path
The normal onboarding path is:
- confirm your workspace or company profile
- create the first property draft
- build rooms and rates
- load inventory
- connect PMS or validate imports
- review readiness and move toward
bookable
Onboarding should feel operational, not bureaucratic. Each page should make the next step obvious.
Step 4: Use the main operator lanes
Once inside the portal, the main navigation groups work into:
Insights— portfolio pulse and what needs attentionSet Up— onboarding, property, rooms, and foundational setupIn Progress— inventory, live preparation, and active operational lanes
If you are not sure what to do next, open the onboarding page first.
Step 5: Use Ask AI when you are blocked
The portal includes an Ask AI assistant for operators.
Use it for things like:
- "What should I do next?"
- "Why is this property not ready?"
- "Help me create the first property"
- "What is missing before inventory goes live?"
The AI assistant is there to guide you through the portal. It should help you move faster, but the source of truth still remains the live data and workflows inside the product.
What you should expect from the portal
The portal is designed for human operators. It should feel:
- professional
- easy to use
- intuitive
- lively without being noisy
You should see:
- clear next steps
- progress and readiness signals
- useful right-rail summaries on workflow pages
- fewer technical terms and less backend jargon
